What is the EPF Name Correction Process
EPFO allows members to correct or update their personal details in the EPF database including name, date of birth, gender and other details.
Earlier you had to submit a joint request (member + employer) via physical form.
With recent updates, for many members whose Aadhaar is already seeded with UAN, corrections can be done online via the Member Portal without needing to submit physical documents in many cases.
This online method simplifies the process and reduces delays caused by manual verification.
When You Might Need a Name Correction
You may need to change your name in EPF records in cases such as:
- A spelling mistake or data entry error during registration.
- Name changed after marriage.
- Legal name change (for example, change of first name or surname) along with official documents like gazette notification.
- Mismatch between name on EPF records and Aadhaar / PAN / bank documents which can cause issues during claims, withdrawals or Aadhaar seeding.
Step-by-Step: How to Correct Your Name Online in EPF
If you have an active UAN and Aadhaar is seeded, follow these steps:
- Go to the EPFO Member Portal at unifiedportal‑mem.epfindia.gov.in and log in using your UAN and password.
- From the dashboard, click on the “Manage” tab and then select “Modify Basic Details”.
- In the form displayed, update your name exactly as it appears on your Aadhaar (or whichever official ID you plan to use). Double‑check spelling and initials carefully.
- Click “Update Details” or “Request Change” to submit the correction request.
- Once submitted, the request goes to your employer for approval. If you leave your employer or if there is no employer to approve, you may need to use the offline method (joint declaration).
- After employer approval, EPFO will review and, if everything is in order, update your name in their records. Once approved, you will see the updated name in your UAN profile.
According to EPFO’s latest update (Jan 2025), for many members whose Aadhaar was already validated, the change may not require employer verification or document upload, making the process faster.
Documents & Proofs Acceptable for Name Change
Though the online portal may allow certain changes without document upload (if Aadhaar is already seeded), there are cases where you may need to provide valid proof especially if the change is more than a simple spelling correction (e.g. after marriage or legal name change).

- PAN Card
- Passport
- Voter ID Card
- Driving Licence
- Bank Passbook / Bank Statement with photograph (self‑attested and stamped)

If Aadhaar is outdated or name on Aadhaar does not match the desired updated name, you may need to first correct name on Aadhaar before submitting EPF request.
When the Online Method Might Not Work Offline Option
If you cannot get your employer’s approval (for example, you have left the employer), or if the online portal shows errors, you will need to use the traditional offline method:
- Download or obtain the “Joint Declaration by Member and Employer” form / letter. This form should mention incorrect and correct name entries.
- Fill in details (old name, correct name), attach a self‑attested copy of one valid ID proof (as mentioned above), and get the authorised signatory from your employer to sign and stamp it.
- Submit the form along with the documents to the concerned Regional EPF office under the jurisdiction of your employer.
- EPFO will review and, if everything is in order, update your name in EPF records. This method tends to take more time than the online route.
What to Keep in Mind Before Requesting Name Change
- Ensure your name on Aadhaar, PAN, bank account, and other official documents match the corrected name you will submit. Mismatches may cause rejection.
- For significant name changes (first name or surname changed), attach additional proof such as Gazette notification or marriage certificate.
- Minor typing mistakes or small spelling corrections are usually processed smoothly via the online portal.
- Processing time may vary. Online requests typically complete within 2–4 weeks (depending on employer approval and EPFO workload).
- If your UAN is not active or Aadhaar is not seeded, the online method may not work in that case use the offline route.
